HostPilot Owner / THE CONNECTED VILLA BUSINESS

Financial records, available in your owner portal.
Lifestyle scene and screen are illustrative. Camera viewing is a proposed integration and requires device support and authorised access.
THE DETAILS THAT BUILD TRUST
The right update.
Without the chasing.
A payout advice. A payment receipt. A supplier bill ready for review. Turn everyday financial events into clear, accessible records.
Illustrative examples. Email availability follows configured workflows and notification preferences.
Everything
in its place.
VILLA AZUREOwners receive payout advices by email and can find the record in their portal. Keep the supporting document close to the statement.

Ask about your villa
Answers come from your own statements, reservations and task records — not from a generic knowledge base.
Give owners decisions they can understand.
Connect performance, property care and growth requests to the records behind them.
Owners can request campaigns, review budgets and use marketing credits. Advertising spend and management fees remain visible; staff share campaign results once reviewed.
Bring maintenance requests, inspection findings and proposals into the owner conversation, with supporting records and a saved response.
Review draft contracts, leave feedback and follow the signature journey. Keep property documents, invoices and statement downloads accessible.
Follow bookings, revenue targets and pricing boundaries. Record purchase costs and investment figures for a clearer view of the property’s performance.
See recorded payment methods, references and proof alongside statement balances. Estimates remain distinguishable from completed payments.
Written to be interrogated.
Most owner reports are a PDF export of an accounting screen. This is a document designed for a sceptical reader with a phone in their hand at 11pm in another timezone.
The management fee is calculated after channel commission, so the owner is never paying a percentage on money the platform kept. The verdict drawer shows the arithmetic.
Electricity billed to guests above the included allowance is income to the owner, not to the manager. Meter photos attach to the line.
Every repair carries an invoice and photos. Anything inside the standing allowance is disclosed rather than hidden; anything above it needs approval first.
The statement is generated from reservations and task records, not typed. If a number moves, the record it came from moved.
A question answered in one paragraph, not a dashboard.
The differentiator is not that a chatbot exists. It is that the answer contains real figures, a causal explanation, a disclosure the owner did not ask for, and a pointer to where to check it.
Statements, reservations, tasks and documents for their villas only.
Not “revenue was ฿369,200” but why it was higher than the month before.
A ฿3,450 pump seal gets mentioned even though nobody asked.
Every answer ends with where to verify it inside the portal.
Dynamic pricing owners consent to.
Automated rate changes are the fastest way to lose an owner’s trust. HostPilot asks, shows the comparable set, and records the decision.
A cap lets an owner say yes to upward moves only up to a ceiling they set.
Comparable villas, nights already sold and the event driving the window.
Six months later, both sides can see who agreed to what and when.
PDFs an owner can forward to their accountant.
Not a screenshot of a dashboard. Three real documents, generated from the same records the statement came from.
Revenue, commission, fees, recoveries and costs for the period, line by line.
Occupancy, rate and channel mix, per property and per month.
A year in one document, for the conversation an owner has with their accountant each spring.
Hundreds of statements with stored PDFs in our own operation. The annual summary is a convenience summary for that conversation — it is not a tax filing or an official tax document.
VAT-aware owner reporting, and exports your accountant accepts.
Thailand makes the tax treatment of villa income a real question. The portal handles the arithmetic and hands off cleanly — it does not pretend to be your tax agent.
Supplier bills and proof of payment uploaded against the villa, not emailed around.
Different owners are structured differently, and the calculations follow the profile.
The ledger and the reports come out in a shape a bookkeeper can work with.
VAT-aware reporting and an annual summary. Not VAT invoicing, not statutory filing, and not a substitute for an accountant. No VAT invoice has been issued from this system, and we are not going to imply otherwise.
The ROI tracker: what the villa actually returned.
Owners do not think in occupancy. They think in what they paid for the villa and what it has given back since.
Purchase or lease, acquisition date, purchase price, capex and holding costs — entered by the owner.
Net income measured against what they actually spent, rather than an agent’s valuation.
It is the owner’s figure. They decide whether the management company sees it.
The feature works and the numbers are real, but only a handful of owners have filled in a profile so far. We are not claiming portfolio-wide adoption, appraised valuations or return forecasts.
An assistant in your manager’s voice — and one tap to the manager.
Each villa has an assigned manager. The assistant answers in that person’s persona, using the owner’s own portal records, and it never pretends to be the person.
Every conversation carries the persona of the human who actually looks after that villa.
Their statements, reservations, tasks and documents — nobody else’s.
Talk to the real person opens a Messages thread with the team. It is a handoff to a separate thread, not a live takeover of the AI conversation — the manager does not appear inside the chat you were already having.
While a manager is handling an issue, the assistant stands down rather than talking over them.
The tech at your villa, in the same app as the money.
Cameras, locks and meters often sit in separate vendor apps. The catalogue and the visual connection story remain part of HostPilot Pro, but the screens below illustrate a direction, not a verified live device integration.

Nothing on this terrace was bought from us. The lighting, the cameras and the meter were here before the villa joined the portfolio.
The meter meets the reservation
The planned connection ties meter readings to stays and owner reporting. The demo illustrates how recovered electricity could appear on a statement; it is not a live meter feed.
The door code knows the dates
The design direction is reservation-aware access: guest dates and separate service windows. A displayed demo code does not mean a smart lock is connected or changing codes today.
One screen, not five apps
The visual concept places installed systems next to property and reservation context. Live device status, alerts and automatic task creation require their own verified integration.

1,604 kWh in the board becomes ฿11,240 of owner income on the July statement, with the reading attached to the line.

Gate and door open on codes the reservation created, and close them again the hour the guest leaves.
The Smart systems tab is live in the interactive tour: four cameras, the lock with its three codes, and the meter card that jumps to the statement line it produces. Click it rather than read about it.
What we can install, if it is not there yet
22 items · quoted per villa by the team that manages itFitting the hardware is a real Mr Property Siam service, and owners request it from inside the portal. It is simply not the headline — connecting what is already on the wall is.

Catalogue read from the live product on 9 August 2026. Every job is quoted per villa — wiring, distance and access decide the number, so there is no useful list price. Fitting is handled by the team that manages the property. Device connections into the portal are in pilot: hardware is installed at villas today, live portal status is not switched on for every property yet.
What’s next.
Explore the next capabilities in the ecosystem. These are separate from the working product; we will confirm scope and availability before including them in your rollout.
- In buildSegregated owner trust accounts
Owner money held in a separate account from the management company’s operating cash, with the ledger and the bank balance reconciling to each other. Today HostPilot records the payout; the bank still moves it.
- Not startedConnected smart devices, starting with door locks
Today the smart-tech surface is a catalogue and an install request. Bringing the installed hardware itself into the portal — lock codes issued against a reservation, meter readings on the statement — has not started. Not a single device is connected yet, and the site will say so until one is.
What this does not do.
Every platform in this category oversells. Here is where the line is, so you do not find out on week three.
- It is not trust accounting certified to any particular jurisdiction — statements are operational, and your accountant still files.
- Owners cannot block a confirmed booking from the portal. Calendar control stays with the office.
- We do not pay owners from inside the product. Payouts are recorded here and sent by your bank or Wise.
- The annual tax summary is a convenience document for your accountant. It is not a VAT invoice and not a tax filing.
- Smart-device screens illustrate planned connections. Hardware installation and catalogue requests are separate from a verified live integration.
- “Talk to the real person” opens a separate message thread with the team. A human does not take over the AI conversation you were in.
